The International Brain Research Organization (IBRO) is a global nonprofit membership association representing more than 90 neuroscience organizations. As a global leader for the neuroscience community, IBRO has a clear mission to promote and support all areas of neuroscience research, thereby elevating the neuroscience research environment, and providing services and training to neuroscientists worldwide. IBRO implements its global mission through a variety of educational and training programs and internationally coordinated schools with an annual budget of ~3 million Euros. The IBRO Secretariat implements and coordinates all aspects of the organization’s activities in-line with the strategic decisions taken by the IBRO Governing Council, the organization’s senior leadership, and other governance groups, consisting of elected scientific experts from IBRO’s diverse membership and regions.

Role

The role as Office Manager within the IBRO Secretariat is diverse and challenging. The Office Manager works alongside the Executive Director to run the small and efficient IBRO Secretariat, ensuring that tasks related to the financial and administrative management of the organization are carried out in a timely and efficient manner. The Office Manager administers a diverse portfolio of tasks and responsibilities of both strategic and financial importance to the organization. In addition to responsibilities for accounting and financial management, the Office Manager administers IBRO’s global membership, manages the payroll for staff and supports other admin-related managerial tasks including administrative support to the Executive Director and the IBRO Officers. The role will naturally involve significant coordination with other staff members as well as direct interaction with different committee members and scientists from within IBRO’s global membership.

Requirements

IBRO is looking for a new colleague with extensive prior and relevant work experience, four or six years minimum, preferentially with hands-on knowledge of financial and all-round administrative management – ideally from a previous position within a non-profit or similar environment. Understanding of payroll management and the implementation of appropriate administrative practices and policies will be considered a strong advantage. English is the official working language of the IBRO Secretariat. Therefore, candidates are required to have very strong English language skills (fluency in both written and spoken English). Knowledge of spoken Dutch and/or French will be useful in day-to-day interactions within the broader work environment, but this is not a requirement for the selected candidate.

IBRO offers

IBRO offers a stimulating and supportive work environment within a strong team of currently six full time staff members focused on delivering IBRO’s mission to the global neuroscience community. The Office Manager reports to the Executive Director. Occasional travel in connection with international neuroscience conferences may be expected in connection with the position. The position as Office Manager is based in the IBRO office in Brussels and the selected candidate is expected to relocate to Belgium in order to take on the position. The position, which is offered under Belgian jurisdiction, is permanent and full time (38h/week). IBRO offers a competitive remuneration that corresponds to the experience of the selected candidate. An attractive employee package including lunch vouchers, group insurance and supplemental retirement plans is furthermore offered as part of the position.

Interested applicants are invited to submit their motivated application and CV in one file to Executive Director Lars Kristiansen (lars.kristiansen@ibro.org). The position is open from January 2024 and applications will be evaluated on a rolling basis from 1 January 2024 until an ideal candidate has been selected. More details regarding the candidate profile can be obtained by request.
